Scheduling Inspections


You can start a new schedule two ways:

1. Click on the three dots to the left of the inspection and choose "Add New Schedule."

2. Click into the Inspection Details by clicking anywhere on the inspection row. Once in the inspection details you can review any current schedules in the top right-hand corner. To set up a new schedule simply click "Add New Schedule" from the left-hand side.

Either method will bring you to the Schedule Inspection page.
 

Once on the Schedule Inspection page, the inspection chosen will showcase in the first dropdown menu (1). You may click to change it if necessary.

Next you choose an Asset to schedule the Inspection for. Type to add an Asset in the field (2), then select the Asset from the dropdown menu.

All assets from all buildings you have access to will be available in this list. For your reference, any asset that has the tool logo to the left of the name means that this is a piece of equipment within your Preventative Maintenance Application. Selecting a PM piece of equipment means that you will be able to see the inspections completed within the Equipment details of the PM application as well as within the inspection application. All other assets that have been added within the Inspection application, will not showcase this logo.

There is no limit to the number of assets that can be chosen when scheduling a new inspection.

The next field on the page is a Reminder field (3). If you would like designees to receive an optional reminder email of the upcoming inspection prior to the due date, you can setup an the reminder here.

Fill in the number of days before the inspection due date you would want designees to be notified. All inspections will show up on the Mobile Task Manager Inspections task list 7 days prior to the due date.
 
Schedules & Assigments: If you have chosen assets from multiple properties and are going to be assigning to multiple designees you will want to select Setup Independent Schedules and Assignments (4).

When selected, you will see a tab for each building and asset on the left (5). Click on each tab to select one or more designees from the dropdown menu (6).

Next, choose the inspection frequency and start date (7). You have the option to schedule an inspection as one-time or recurring. If Recurring is chosen, you will then have the capability to schedule the inspection on a daily, weekly, monthly, quarterly or yearly basis. Once you have set this up, you will need to enter a start date and end date. If you want the inspection to auto-renew every two years, you can leave this end date blank. Please note that you will always have the option to come back to your inspection schedule and edit the frequency at any time, if needed.

This process is the same if you have chosen an asset or assets from one property only or if the same designee or designees will be completing all inspections in multiple buildings on the same schedule.

Click Submit at the bottom of the page to complete the process and your inspections and assignments are now scheduled and assigned.
